UIMC Privacy Policy

The UIMC event registration form requires registrants to provide personal information (‘Personal Data’) for the purpose of the organisation of the relevant event (‘Event’) by UIMC and its working partner companies  (hotel, catering, transportation, etc) and for Unisys marketing purposes. Such Personal Data will be handled and stored as described in this Privacy Notice. 

Type of Personal Data collected from registrants may include some or all of the following:

• Personal information (name, e-mail address and other identity details). These may include, if necessary:
  • Host organizer’s credit card details (temporarily stored as a paper document only)
  • Driving licence details (temporarily stored as a paper document only)
• Professional data (company address, job title, contact email, tel, etc)
• Travel arrangements information, including flight details
• Dietary information (for health and/or religious requirements)
• Photo (with group and identification of name of attendee) or individual reportage. The group photo is distributed to all attendees. Group photos are stored unlimitedly  in the photo albums which are displayed in the lobby of the centre.
  If you object to having your photo made available for internal use or to other Event attendees, advise your UIMC seminar manager at the beginning of the event
• Video of the seminar if any.
  If you object to having your video photo made available for internal use or to other Event attendees, advise your UIMC seminar manager at the beginning of the event

Access to Personal Data

Personal Data will not be transferred outside the Unisys enterprise, without your prior express consent, except to comply with applicable law and as described in this Privacy Notice.

Certain Personal Data is communicated by UIMC to the working partner companies as follows:

• Name of visitor
• Dietary information
• Need for disabled room
• Travel arrangements (transportation working partner companies only)

Event attendees will get a list of the other Event attendees, including individual names, e-mail addresses and company affiliations. A separate paper copy list of Event attendees with flight detail information will be presented to Event attendees for confirmation purposes only. Flight detail information will be retained by the Unisys hospitality desk representatives and working partners and not by Event attendees.

UIMC registrants may contact Unisys with any privacy questions or questions regarding their Personal Data or access, update or request non availability of their Personal Data after the event by sending an e-mail to uimc@fr.unisys.com.

Location of storage of Electronic Personal Data

Electronic Personal Data is stored unlimitedly in the UIMC Property Management Systems (Betisoft) and in secure Unisys owned servers located in France, US, and Great Britain.

NB. Personal Data on paper copies and CD Rom

• Credit card details and driving licence details are temporarily stored by UIMC reception (including Security working partner) as a paper copy ONLY and are destroyed after the Event is finished. The Security working partner company will be required to destroy paper copies once the Event is finished.
• Working partner companies will be required to remove all Personal Data from their own systems once the Event is finished.
• UIMC will keep speakers’ presentations, group photos, and names of Event attendees and their companies on a CD Rom for a maximum of 5 years. Thereafter, all collateral will be destroyed.
• Paper copies of list of Event attendees with names of individuals, flight details and company details and details of billing are stored for 10 years and then such lists will be destroyed.

Updating the UIMC Privacy Notice

At any time, UIMC may need to change the provisions of this Privacy Notice to accurately describe the handling of your Personal Data. Only the current Privacy Notice is deemed effective, so please review this Privacy Notice from time to time. Any changes will be identified and described at the end of this Privacy Notice.

Declaration to CNIL

UIMC is in line with the French Government Public Organisation CNIL (Commission Nationale de l'Informatique et des Libertés) on the handling and storage location and duration in the UIMC Property Management System called called Betisoft and the Unisys servers of data related to the Personal Data of UIMC visitors.
